Minutes of the meeting held on 4th February 2008 in the LIC, room 703

1 Minutes of previous meeting (5 November 2007)
These were accepted as a true record. No amendments were submitted.
   
2 Matters arising
  1. Most, but not all, new volunteers had received their CRB checks. Steve Roberts is checking on their occupational health checks and will get their ID cards issued when all checks have been completed.
  2. Practice AED and manikin - see below.
  3. The contents of all 3 bags have been standardised with all items in the same place in each bag. The compartments have also been labelled. Photos of each section have been sent to all team members. When replacing items in the bag they should go into the specified locations so that they are readily to hand during a future call.
3 Calls since the last meeting
  There have been 9 calls since the last meeting.  A brief recap of each event was given where the responders who attended were present.
   
4 New volunteers - changing the rota
Unfortunately out of the seven recently trained volunteers only one, Christine, attended the meeting. It was therefore not possible to start updating the rota to accommodate the new team members.
   
5 New equipment checklist
  Jerry produced the new equipment checklists supplied by the ambulance service. In community first responder schemes each responder will check the kit contents and sign it off on the checklist at the start of each shift. Obviously this is not practical in our situation so the emphasis must be on all team members to inform Jerry whenever anything is used from a kit so that he can replace it ASAP. Various people also offered to check the nearest kit to their workspace from time to time to ensure that nothing in there had passed its use-by date.
   
6 New incident report forms
  Everyone present was given one of the new forms, the updated version of which will soon replace the forms we currently use, and these were studied in conjunction with the guidelines. It was agreed that in some respects the new form is superior to the current one but that having to complete it whilst on scene and give one copy to the paramedics before they leave may not always be possible. In such circumstances it was agreed that the form should be completed as soon as possible after the event and passed to Jerry.
   
7 Practice AED and manikin
  Jerry wrote to the senior management team on 4/12/07 requesting £400 to purchase a practice AED and manikin. An email to Phil Gough in mid January revealed that the letter had been 'misplaced' so it was sent again. [6/2/2008: Ron Knuska has offered to fund the training AED and manikin from the Safety Office budget so these will be ordered in the near future]
   
8 Distribution of antiseptic gels
  Personal issues of the gel were given to those who had not received them and duly signed for.
   
9 Any other business
 
  1. Phone coverage problems are still occurring. It was agreed that Jerry talk to Pete Deacon about the possibility of using DECT phones, or IP phones. Jerry will also talk to Steve Roberts about pagers - would they solve our problem?
  2. The 2 digits to dial before non-5xxx internal extension numbers are: Extensions with numbers in the 2000, 3000, 5000 and 8500 and 8600 ranges are able to receive calls directly by preceding the number with 60 for 2000 series numbers, 51 for 3000 series numbers and 8500/8600 series numbers and 29 for the 5000 series numbers. The only exception to this is numbers 3550 to 3589 which are prefixed with 54
  3. Jerry would revisit the access to Salto locks in halls problem to see if the 'old' Salto cards that Mark holds would open the locks. If so, one could be placed in each bag.

  4. Jerry will query the CRB charge received by Jane's department with Steve Roberts.

  5. Jerry will remind the switchboard operators to ask any person making a 333 call to send someone to the main entrance of a building to meet the first responder and paramedics and guide them in.

  6. It was agreed that, in the ideal world, a kit should be available in each building. However, given the current financial climate this is not possible.
